
Terms of Participation
- Peering Asia 8.0 is an event designed to encourage discussion of contemporary topics in internet interconnection and meet with other attendees. The success of this event depends on the activities of a variety of parties including hosts, attendees, sponsor representatives, and the Peering Asia Steering Committee.
- Peering Asia 8.0 encourages discussion on interconnection topics and issues.
- Peering Asia 8.0 expects that each person in attendance at the event, or an event hosted by a Peering Asia 8.0 Sponsor in connection with the event, will conduct themselves and act in a thoroughly professional manner with respect for all others in attendance.
- Peering Asia 8.0 expects that all attendees, employees, contractors, and sponsors of its activities, physical or digital, shall act in accordance with the following guidelines as established and amended, from time to time, by the Peering Asia Steering Committee.
- In general, Peering Asia 8.0 allows 3 participants per Organisation / ASN to attend the event.
- The following activities are not permitted at Peering Asia 8.0 activities or events, physical or digital:
- Disruption of meeting activities, including social events.
- Sexual harassment or physical assault of any other person.
- Engaging in any activity that discriminates or is offensive related to gender, gender identity, gender expression, sex, race, religion, national origin, sexual orientation, disability, age, socioeconomic status, or family status.
- Disrespectful behavior towards any other event participant or staff member.
- Audio or video recording, or photography of any sort, of any presentation or material presented at the event unless explicitly and publicly authorized prior to that presentation.
- Participation or attendance by non-registered individuals.
- Distribution of marketing material or soliciting business without an event sponsorship agreement in place, and/or outside of the sponsor exhibit space.
- Violation of event venue (hotel, social event, etc.) rules and regulations including any activities related to smoking, closed venue areas, and/or outside alcohol consumption, including distribution or consumption of alcohol in hotel or other venue space contracted by Peering Asia 8.0 and not served by venue-licensed providers.
Privacy Policy
This Privacy Policy explains how we collect, use, process, and protect your personal data in connection with the Peering Asia 8.0.
Because our Event is utilizing multiple systems to serve a global audience, your data is processed across multiple geographic locations. We comply with applicable data protection laws, including the European Union’s General Data Protection Regulation (GDPR), Malaysia’s Personal Data Protection Act 2010 (PDPA), and Japan’s Act on the Protection of Personal Information (APPI).
1. Our Digital Pipeline & Data Locations
We minimize data transfer by keeping data hosted regionally. However, because our operations team is located in Japan, your data will be accessed and downloaded internationally as follows:
Screening Phase: Potential attendee screening data is collected and securely hosted on servers located in Malaysia.
Registration & Payment Phase: Approved participants register and process payments on a system hosted on servers located in Germany.
Meeting Management Phase: Confirmed participants use a meeting scheduling system hosted on servers located in the Czech Republic.
On-Site Operations: Data from the systems above is accessed, downloaded, and processed by our host team in Japan solely for logistics, badge printing, and on-site entry verification.
2. International Data Transfers
By participating in our event, you acknowledge that your personal data will be transferred to and accessed from Japan.
EU to Japan: Transfers from EU to Japan are protected under the EU-Japan Mutual Adequacy Decision, ensuring a level of data protection equivalent to European standards.
Malaysia to Japan: Transfers from Malaysia are protected by operational safeguards and your explicit consent.
3. How We Use Your Data
We use your information strictly to evaluate eligibility, process payments, publish attendee list on our website, facilitate event scheduling, and execute on-site operations (e.g., printing your physical event badge). We will never sell your data or use it for unrelated marketing without your explicit consent.
4. Data Retention and Security
We employ strict technical and organizational security measures to protect your data from unauthorized access. Downloaded data used on-site in Osaka will be permanently destroyed within 45 days after the conclusion of the Event.
5. Your Rights
You have the right to access, correct, restrict, or request the deletion of your personal data. To exercise these rights across any of our systems, please contact the host team at: host8@peeringasia.org.
Sanctions
The Peering Asia Steering Committee may, at its discretion, issue any of the following sanctions in response to a violation of the Terms of Participation.
- Verbal alert to an issue by one or more Steering Committee members or event venue staff
- Suspension of an individual from current or future Peering Asia events
- Suspension of any individual from an offending organization from any future Peering Asia events
- Limitation on attendees from offending organization at future events
- Removal from contracted venue space by venue security
